FY2022 (1 May 2021 - 7 December 2022)

The D&I committee was established in 2019 in order to build equity in our community by developing tools and frameworks to foster inclusion and increase diversity in all phases of Apache projects. The committee selected the following values as the foundation of their work: Respect, empathy, openness, patience, candor & dependability.

Goals 

FY 2022 Goals

  • Improve current work structure to ensure continuity of the Outreachy program. Boost the entry point for underrepresented groups in our community. 
  • Set a two-years cycle process for the survey to keep track of the influential factors on the contributor experience.
  • Act on the findings and recommendations from the research done in FY2021. Deal with some of the most common barriers to contribution that were previously identified from underrepresented groups.
  • Centralize D&I efforts in Confluence to maximize community outputs. 

Noteworthy Achievements

  • Enhanced our position as an Outreachy community
    • Participated in 3 Outreachy rounds.
    • Hosted 8 new Outreachy interns in 8 projects.
  • Research on the current status of Diversity and Inclusion at the ASF
    • We partnered with Bitergia to execute the a second iteration of the project "Community Survey and User Experience Research"
    • The second iteration of the ASF Community survey was launched on August 2022 and closed on September 2022 with 697 responses.
    • We are currently scientifically analysing the new data obtained from the last survey to contrast with the prior data obtained on the Community survey of 2020.  Our goal is to produce a report with D&I trends and updated recommendations. We are planning to share our first draft during January 2023. 
    • As a follow up action of the first iteration of the project "Community Survey and User Experience Research", we have also worked on an improvement initiative. Our goal is create a dashboard that could be used by any PCM in the community to create awareness on D&I aspects. We are currently working on the design with the proactive and valuable support and feedback of the Apache Beam PMC. 

Future Goals

  • Ensure the continuity of our participation in the Outreachy program and overcome the current financial situation affecting to the tech industry in general. 
  • Finalise the second round of the "Community Survey and User Experience Research" project with the following outcomes:
    • Better understanding of the influential factors on the contributor experience and identified D&I barriers.  
    • Create awareness on our PMCs by giving them a dashboard tool to analyse influential factors on the contribution experience.
    • A report with comparative data from both iterations of the program, 2020 and 2022.

Diversity & Inclusion

Q1 of FY2022 focused on planning the next steps for the user experience research on contributors of underrepresented groups and identifying potential sponsors for the Outreachy program for the following 2 rounds. Below is a breakdown of these achievements.

Planning the next steps for the user experience research on contributors of underrepresented groups  (D&I at the ASF)

This project was composed of two initiatives: The ASF Community Survey and a User Experience Research for contributors of underrepresented groups. From these two initiatives, we obtained valuable information that will be used in the second part of the project.  

The goal of the second part of the project is to make actionable recommendations for ASF projects to spread the lessons learned. We will start with one ASF project (PMC) and one approach for improvements.

  • Action items in progress:
    • Approve final Report of the Community Survey & Contributor Experience.
    • Identify PMC that could participate in the second part of the research project to test one improvement approach.
    • Select one improvement approach. We have 3 recommendations from Bitergia. 
    • Contract and budget. 

We will partner with Bitergia to develop strong practices for inclusion, diversity, and equity, enabling the projects to live these values.

Conscious Language Checker (CLC)

The Conscious Language Checker is a tool that gives you insights into what words and phrases appear in your code and documents that might make your project less welcoming to certain parts of your potential community. The goal is to spread awareness of biases in language. Helpful resources, see [1][2][3].

Continuing the internships for underrepresented groups through Outreachy.org

We finished the third round of the Outreachy program with one project and one intern [4]. Currently, we are participating in the fourth round [5]. We have 2 potential projects and secured funds for at least one intern. We are working on identifying new sponsors, for more information about the sponsorship please see [6].

Diversity & Inclusion

Q3 of FY2021 focused on wrapping up the first research on the current status of D&I at the ASF, securing funds for one more year of Outreachy internships, and planning for FY2022. Below is a breakdown of these accomplishments.

Wrapping the research on the current status of Diversity and Inclusion at the ASF
This project was composed of two initiatives: The ASF Community Survey and a User Experience Research for contributors of underrepresented groups. These two initiatives concluded in Q2 and we have a final draft https://cwiki.apache.org/confluence/pages/viewpage.action?pageId=173087952 to be published in multiple channels, such as research publications and conferences like ApacheCon.

Continuing the internships for underrepresented groups through Outreachy.org
The third period of Outreachy internships is underway and we have six interns for six different Apache projects https://cwiki.apache.org/confluence/display/EDI/2020-11-25+Outreachy+Meeting+notes . We secured $52,000 in sponsorship from Google to continue with this program for one more year. The sponsorship will be processed in March 2021.  

FY2022 planning
The findings and recommendations from the research completed in FY2021 will be the platform  for taking action in FY2022. The D&I committee will have the following goals in FY2022: 

  • Act on the findings and recommendations from the research done in FY2021
  • Continue the Outreachy Internships
  • Re-application of the community survey to measure changes since the survey was last done in 2020. 

The ultimate objective is to scope and define a project that will help us take the current state of D&I at the ASF to better neights. We will partner with Bitergia again, this is the firm that conducted the research and ran the ASF community survey in 2020. One of the alternatives we’re strongly considering is the creation of a program that helps podlings in the incubator develop strong practices for inclusion, enabling the projects to be diverse from the moment they graduate from incubation. This is still one are of consideration, and we’ll have the final selection by the end of the quarter.

  • Create a toolkit to address the top 3 entry barriers for new contributors from underrepresented groups
  • Be the trusted, go-to partner for PMCs when it comes to D&I
  • Have committer on-boarding and retention plans, built with and shared with the PMCs
  • Improve the accessibility of Apache projects by increasing participation of at least one underrepresented group by 20% across all Apache projects

  • Enhanced our position as an Outreachy community
    • Hosted 10 Outreachy interns in 8 projects.
    • Developed a work structure to ensure continuity of the program and promote the participation of the community. 
    • Created an entry point for newcomers from underrepresented groups.

Future Goals

  • Improve current work structure to ensure continuity of the Outreachy program. Boost the entry point for underrepresented groups in our community. 
  • Standardize a friction log feedback process to identify the main barriers for newcomers from underrepresented groups in the Outreachy program. 
  • Set a two-years cycle process for the survey to keep track of the influential factors on the contributor experience.
  • Act on the findings and recommendations from the research done in FY2021. Deal with some of the most common barriers to contribution that were previously identified from underrepresented groups.
  • Centralize D&I efforts in Confluence to maximize community outputs. 
  • Publish a website to improve the visibility of our projects and attract new contributors. Increase the number of contributors by at least 20%.

  • Raise awareness in our community about the importance of Diversity & Inclusion in the open source world
  • Have a measurable list of key indicators to track over time


Noteworthy Achievements

  • Hired a professional firm experienced in the study of open source communities 
    • Redesigned the Community Survey 
    • Analyzed influential factors on the contributor experience
    • Designed a contributor experience interview to deep dive on findings from the survey
  • Established the ASF as an Outreachy community
    • Hosted 4 Outreachy interns in 3 projects
    • Raised funds from 2 Sponsor organizations 
  • Delivered three talks on the status of D&I at the ASF
